Organization
Board of Trustees
The Elected board of trustees governs, sets policy and monitors the implementation of the mission of the PRCS in accordance to its Constitution and By Laws. The Board of Trustees are elected by the members for three years. The PRCS is organized by committees.
Executive Committee
This committee is empowered to act for the full board in matters that require immediate attention and/or do not involve major questions of policy or funding. It acts as the chief coordinating committee for the Board of Trustees, mapping out how the Board's business should be conducted, setting agendas, and organizing the activity of other committees. The members of this committee will be the President, Vice President, Secretary, Treasurer, Immediate Past President and at least two other trustees named by the President. They will serve for a term of one year.
Finance Committee
This committee is responsible for providing guidance on all financial matters of the Society; it will prepare the annual budget of the Society and present to the Trustees for their approval at the last meeting of the fiscal year. It will work with the strategic Planning committee to insure the expenditures/income of events identified by this committee are included in the proposed budget. It will also work with the Development Committee in the identification of fund raising strategy. It will also determine how and where checking and savings accounts will be located.The Treasurer and at least one more Trustee will be part of this committee. The treasurer will act as Chairperson for this committee.
Nominations Committee
This committee will, in the last quarter of the fiscal year, identify & nominate as many new trustees as are required. For example, if six (6) trustees are ending their terms, at least six names shall be presented to the Trustees for their consideration as new members of the Board. This committee will be responsible for also presenting to the trustees the slate of officers of the Board for the upcoming year. They will also administer the process of elections including vote count and tabulation of results as required. This committee will be composed of at least three members one of which will be a trustee appointed by the President. All can be trustees but at least one must be. The members of this committee shall serve for one year and will be selected by the Chairperson who is appointed by the President.
Development Committee
This committee will be responsible for the annual fund raising campaign. They will meet as necessary throughout the year to determine the strategy, develop the plan and carry on the campaign. The campaign will be accomplished during the first quarter of the fiscal year (July-September). They will provide status report to the board at each Quarterly board Meeting. At least two trustees named by the President will be part of this committee. However, other individuals, not trustees, can be a part of this committee. Members of this committee shall serve for one year. With the exception of the two trustees appointed by the President the members of this committee shall be selected by the Chairperson.
Marketing and Public Relations Committee
This committee will be responsible for the promotion of the Puerto Rican culture to the community. This will be accomplished by providing talks to schools, clubs, or organizations which request this information. This committee will also be responsible for maintaining the library and files of materials to be used by the PRCS in its presentations and activities. They will also work with other committees in preparation of press releases and other marketing/publicity related to the PRCS. The President will appoint at least one Trustee to this committee. However this committee can be as large as 5 members, four (4) of which do not need to be trustees. They will serve a term of one year.
Cultural Events Committee
This committee will be responsible for the support, administration, management and presentation of all cultural activities identified, in coordination with the Strategic Planning Committee, and approved by the Board of Trustees. This committee will meet as required and shall be chaired by one of the Board of Trustees and appointed by the President. It will be composed of at least three (3) members selected by the Chairperson. All can be Trustees but do not have to be. They will serve for one-year term. These members will be responsible for securing, sponsors, requesting grants, development of ticket sale strategy, and determination of location of the activity and total administration support for the activity to be presented. They will meet as directed by the Chairperson and will provide a final report to the Board after each event is completed.
Recurring Activities Committee
This committee will be responsible for the administration, planning, and overall management of those activities which are annual events and in which the PRCS participates every year. These activities include but are not limited to the Dayton International Festival's, "A World A'Fair" in the Dayton Convention Center in May, and the Hispanic Heritage month Festival at Riverscape each September. This committee will meet as required and shall be chaired by one of the Trustees appointed by the President.
Community Outreach Committee
This committee will be responsible for the administration, overall management and presentation of all social, Annual Awards Celebration, and fund raising events in coordination with the Strategic Planning Committee and approved by the Board of Trustees. These events are primarily offered as fund raising events; however, they will be more of a fun and entertaining activity for the members, families and friends of the PRCS.
Rondalla Puerto Rico Committee
This is an autonomous musical ensemble that represents the PRCS and provides musical entertainment to the Dayton, Miami Valley and the State of Ohio general public as requested. They will represent the PRCS in the Dayton International Festival each year and other festivals as requested.
El Coqui Newsletter Committee
The PRCS publishes and distributes on a quarterly basis "El Coquí" newsletter to all supporters, members, friends and organizations throughout the Miami Valley and the state.
